Phase 1: Access and General Configuration
Locate the Service: Go to the forms service page (URL containing /forms)
Enter Settings: Click the Cogwheel icon ⚙️ in the top right corner
- [ ] Customise Appearance: Set the cover image and icon that represent the service
- [ ] Set Category: Choose the category where this service will appear in the Discover section
- [ ] Control Global Visibility: Decide if the entire service is visible or hidden
- [ ] Pin to Home (Optional): Toggle this to pin the service to the main Home screen
- [ ] Assign Roles: Grant "Service Administrator" or "Service Editor" rights to specific users who need to manage the service without full community manager privileges
Phase 2: Define Responsibility (Service Level)
Navigate to the "Service" tab
- [ ] Select Assignee Group: Choose the group of users (team) responsible for processing form submissions
- [ ] Add Description (Optional): Write an internal description to clarify the purpose of this service
Phase 3: Create Forms
- [ ] Navigate to the "Forms" tab and click + Add Form
A. General Form Settings
- [ ] Set Appearance: Provide a Name, Icon, and Cover Image
- [ ] Add Summary: Write a short summary (displayed on the main forms overview)
- [ ] Add Description: Write detailed instructions or a description for the form
- [ ] Cancellation Policy: Decide if users can cancel their own submissions after sending
- [ ] Set Visibility: Restrict access to specific user groups if this form shouldn't be available to everyone
